Position Summary:
The Hospital Administrative Assistant supports hospital leadership by managing key administrative and financial functions that ensure accurate patient billing, regulatory compliance, and effective departmental coordination. This role serves as a central resource for insurance renewals, vendor contract oversight, and leadership meeting coordination. It also provides financial counseling to patients, facilitates the charity care program, ensures compliance with good faith estimate requirements, and supports grant preparation efforts. Through close collaboration with department heads, the position contributes to achieving both financial and strategic goals across the organization.
Duties & Responsibilities:
- Demonstrates Competency in the Following Areas:
- Manages annual insurance renewal processes to ensure timely and accurate completion.
- Ensures compliance with Good Faith Estimate requirements in accordance with federal regulations.
- Assists in overseeing the chargemaster.
- Maintains vendor contracts, ensuring compliance and timely renewals.
- Issues and tracks Service Request System (SRS) tickets to the EMR for resolution.
- Provides financial counseling to patients, including charity care program assistance.
- Supports the Admissions Department by assisting with front desk coverage, answering workflow questions, ensuring accurate registration and insurance documentation.
- Protects patient and provider confidentiality and complies with HIPPA and hospital privacy policies.
- Contributes to department goals by supporting improvements in accuracy, timeliness, and documentation integrity.
- Works with department heads to develop strategies, financial objectives, and improvement goals.
- Coordinates and schedules department head meetings; records and distributes accurate meeting minutes.
- Assist in grant preparation and related administrative tasks.
- Participates in audits and internal reviews related to assigned responsibilities.
- Communicates effectively with coworkers, clinical departments, and administrative leadership to support timely and accurate business functions.
Qualifications & Skills:
Professional Requirements:
- Maintains a neat and professional appearance in accordance with the hospital's dress code.
- Completes all required annual training and education.
- Wears an identification badge while on duty.
- Participates in hospital and departmental in-services and staff meetings.
- Engages in Continuous Quality Improvement (CQI) and compliance activities as appropriate.
- Maintains professionalism, confidentiality, and teamwork in all job functions.
- Supports and communicates the mission, vision and values of Johnson County Hospital.
Regulatory Requirements:
- High school diploma or equivalent required.
- Associate degree in business administration, health information, or a related field preferred.
- Minimum of two years of experience in a hospital or clinic preferred.
- Strong understanding of HIPPA, insurance verification processes, and vendor contract management.
- Ability to work independently and collaboratively in a fast-paced environment.
- Excellent communication, organization, and attention to detail.
